UM, THE WHOLE PURPOSE OF TODAY'S WORK SESSION FROM OUR POINT OF VIEW IS JUST TO INFORM THE BOARD AND THE PUBLIC A LITTLE BIT MORE ABOUT WHAT THIS DEPARTMENT DOES AND SOME EXCITING CHANGES WE HAVE COMING UP WITH OUR SCHOOL WEBSITE.

UM, SO WE'LL GO AHEAD AND GET STARTED HERE, UM, AS YOU ALL KNOW, BUT WE'LL DO BRIEF INTRODUCTIONS.

MY NAME'S EL PACE ABBOTS.

I'VE BEEN THE DIRECTOR OF SCHOOL AND COMMUNITY RELATIONS FOR HSE, UM, SINCE APRIL OF 2017.

I CAME FROM THE TV WORLD AS A REPORTER AFTER 10 YEARS AND WAS LUCKY ENOUGH TO LAND THIS WONDERFUL, UM, POSITION HERE.

AND, UM, I HAVEN'T THOUGHT ABOUT TV EVER SINCE, UM, BECAUSE I STILL GET TO ENJOY DOING SOME OF THOSE ASPECTS OF VIDEO AND EDITING AND, UM, YOU KNOW, TALKING TO PEOPLE AND FINDING THOSE STORIES.

SO IT'S BEEN A REALLY WONDERFUL, UM, EXPERIENCE SO FAR.

AND THEN NEXT TO ME IS ABBY BROWN.

SHE'S OUR DIGITAL COMMUNICATIONS SPECIALIST.

I WAS LUCKY ENOUGH THIS SUMMER TO HIRE A FULL-TIME, UM, SECOND AND COMMAND PERSON TO HELP, UH, LEAD SOME OF THE COMMUNICATIONS THAT WE HAVE GOING ON.

SO I'LL LET ABBY INTRODUCE HERSELF A LITTLE BIT.

HELLO.

UM, YEAH, SO I'VE BEEN HERE SINCE JULY.

UH, PREVIOUSLY I GUESS I STARTED MY CAREER IN MARKETING, MORE OF A MARKETING BACKGROUND AT A Y M C A.

AND THEN BEFORE I CAME HERE, UM, I DID MARKETING IN PR FOR THE INDIANAPOLIS ART CENTER.

AND THEN SITTING NEXT TO ME ON MY LEFT IS CHRIS CORBERT.

HE IS OUR INFRASTRUCTURE MANAGER FOR THE DISTRICT.

HE'S HERE, UM, AS MORAL SUPPORT AND ANSWER ANY KIND OF TECHNICAL QUESTIONS YOU MAY HAVE ABOUT, UM, OUR WEBSITE SWITCH OVER.

AND THEN I PUT THAT WE HAVE A STUDENT INTERN THAT USUALLY TYPICALLY WORKS WITH US.

FOR THE PAST FOUR YEARS, I'VE HAD A YEARLY STUDENT INTERN, UM, THAT COMES IN.

NOW WE'RE ON THE BLOCK SCHEDULE.

SO IT'S BEEN REALLY NICE BECAUSE THEY GET TO SPEND A LITTLE BIT MORE TIME IN THIS OFFICE.

AND SO THEY HELP WITH DOING STORIES AND FINDING THOSE LITTLE FUN THINGS TO COVER.

AND WE, UM, PUBLISH THEIR STUFF ON OUR SOCIAL MEDIA CHANNELS AND ON OUR WEBSITE.

SO IT'S BEEN A NICE, UM, EXTRA HELP IN THE OFFICE.

SO, UM, JUST A BRIEF OVERVIEW OF WHAT ALL THE DEPARTMENT DOES.

UM, SO OF COURSE WE DO INTERNAL COMMUNICATIONS, UH, WEBSITE MANAGEMENT.

WE FIELD MEDIA REQUESTS AND DO FOIA.

WE'VE OBVIOUSLY HAD AN UPTICK IN FOYER REQUEST THIS YEAR.

UM, I AM THE ONE WHO RECEIVES THOSE AND THEN I'M KIND OF THE MIDDLE MAN AND THEN PASSES THAT ALONG TO WHOEVER NEEDS TO HELP GATHER THAT INFORMATION.

AND WE JUST MAKE SURE WE'RE FOLLOWING THE LAW TO A T TO GET ALL THAT INFORMATION OUT.

UM, WE DEAL WITH CRISIS COMMUNICATIONS, PHOTOGRAPHY AND VIDEO, OBVIOUSLY.

UM, GRAPHIC DESIGN, EVENT PLANNING, SOCIAL MEDIA AND PUBLIC OUTREACH.

SOME OF THOSE PUBLIC OUTREACH, UM, EVENTS WOULD INCLUDE OUR BEFORE THE BELL THAT WE HELD THIS YEAR.

UM, HSC ENGAGE NOW IN ITS SECOND YEAR, UH, JOB FAIRS, UM, WHEN WE HAVE DONE BIG INITIATIVES SUCH AS REDISTRICTING OR, UM, THE START TIME THING THAT WAS ALL HELPED, UM, OR ASSISTED BY THIS DEPARTMENT.

JUST TO GIVE YOU A QUICK OVERVIEW OF HOW WE ARE REACHING OUR AUDIENCES.

UM, WE ARE ALMOST ON EVERY SOCIAL MEDIA PLATFORM.

UM, WE ARE ON TWITTER, FACEBOOK, INSTAGRAM, YOUTUBE, AND WE JUST LAUNCHED TIKTOK IN AUGUST, UM, WITH OUR STUDENT INTERN.

UM, I WAS VERY HESITANT TO GO ON TIKTOK CAUSE I JUST DIDN'T WANT ANOTHER PLATFORM TO MANAGE, BUT IT'S BEEN FUN.

UM, AND IT'S A WAY TO REACH KIND OF OUR YOUNGER AUDIENCE.

THOSE DEMOGRAPHIC NUMBERS YOU SEE AT THE BOTTOM, THOSE ARE JUST NATIONAL STATISTICS.

WE DIDN'T PULL THOSE FROM OUR OWN PAGES.

BUT BELOW THAT, TELLING YOU WHO THE AUDIENCE IS, THAT'S WHO WE'RE SEEING ON OUR CHANNELS INTERACTING WITH US.

UM, WE HAVE GROWN A LOT IN, UM, FACEBOOK FOLLOWERS.

WHEN I STARTED FIVE YEARS AGO, WE WERE LESS THAN 3000, UM, FOLLOWERS, AND NOW WE'RE UP TO 13,000.

UM, AND WE DON'T PAY FOR ANY KIND OF PROMOTION OR PUSHES.

SO ALL OF THIS IS ORGANIC, UM, CONTENT THAT IS GATHERING PEOPLE.

UM, SOME OF OUR OFF THE BEATEN PATH CHANNELS IS NEXTDOOR.

UM, NEXTDOOR OPENED UP A FEW YEARS AGO TO SCHOOLS.

UM, AND NOW IT IS A FREE SERVICE FOR PUBLIC ENTITIES, INCLUDING PUBLIC SCHOOLS.

SO AUTOMATICALLY WE HAVE ABOUT 52,000 PEOPLE A PART OF THAT NEXTDOOR NETWORK.

UM, WE'RE ALSO ON LINKEDIN.

THAT'S MAINLY MORE OF A EMPLOYEE ENGAGEMENT TOOL AND RECRUITMENT.

AND THEN WE ALSO, UM, HOST OUR PODCAST ON PODBEAN.

UM, THAT WAS AN INITIATIVE WE LAUNCHED, I GUESS, DURING COVID.

UM, AND SO WE'VE DONE A COUPLE EPISODES.

AND THEN PARENTS WEAR OBVIOUSLY IS SOMETHING NEW.

THOSE ARE THE NUMBERS OF PEOPLE THAT WE ARE ABLE TO REACH VIA EMAIL, PHONE.

UM, SO AS YOU CAN SEE, WE, WE HAVE A GREAT, UM, ATTRITION RATE ON THAT AND JEFF'S DONE A WONDERFUL JOB OF GETTING EVERYBODY LOADED INTO PARENTS SQUARE.

UM, THIS IS JUST A QUICK OVERVIEW OF SOME OF THE THINGS THAT WE'VE DONE, UM, OVER THE YEARS.

SO WE STARTED OUT, WHEN I CAME IN WARD, WE DID, UM, STARTED NEW WEBSITE PLANNING AND LOGO REBRANDING.

THAT WAS A MAJOR UNDERTAKING, UM, WHEN I CAME ON.

AND THEN WE LAUNCHED THAT WEBSITE IN THE SUMMER OF 2018.

UM, ALONG WITH OUR NEW BRANDING, WE ALSO STARTED TACKLING THE REDISTRICTING A LARGE SCALE DISTRICT REDISTRICTING.

IN THAT SAME YEAR WE DID SCHOOL LOGO REFRESHES.

SO ALL OF OUR ELEMENTARY SCHOOLS AT THE TIME GOT BRAND NEW SCHOOL LOGOS, WHICH WERE DESPERATELY NEEDED.

SOME OF THEM WERE MORE THAN 20 YEARS OLD.

UM, WE HELPED WITH THE OPENING OF OUR ELEMENTARY SCHOOL AND THEN WE HAD OUR SOLAR PANEL INSTALLATION, UM, RIBBON CUTTING DURING THAT TIME.

UM, THEN THE FOLLOWING, WE, WE DID THE SCHOOL START TIMES, WHICH WAS LIKE A YEAR LONG, UM, PRESENTATION AND STUDY WITH THE PUBLIC.

UM, THAT WAS ALSO THE YEAR WE STARTED WITH COVID 19 COMMUNICATIONS.

UM, I PRODUCED OVER 50 WEEKLY VIDEOS WITH DR.

BOR AT THAT TIME WHEN WE WERE TRYING TO REACH OUR FAMILIES WHEN EVERYTHING WAS SHUT DOWN, THAT WAS THE BEST WAY AND WE WERE REALLY HAMMERING HOME, YOU KNOW, ALL THE UPDATES AND CHANGES THAT WERE GOING.

UM, AND THEN WE ALSO CREATED A COMPREHENSIVE OPERATIONS PLAN AND COVID WEBPAGE, WHICH IS STILL UP AND RUNNING, BUT EVENTUALLY I THINK WE'LL, UM, BE TAKING THAT DOWN AFTER THE SR FUNDS RUN OUT AND WE DON'T HAVE TO BE TIED TO THAT.

UM, SO THEN THE FOLLOWING YEAR WE LAUNCHED THAT RAISING HSE PODCAST.

UM, BECAUSE OF COVID, WE UPGRADED OUR SNAPSHOTS OF SUCCESS TO INCLUDE VIDEO HIGHLIGHTS, WHICH I HAVE THOUGHT HAS BEEN A REALLY NICE THING.

SO YOU CAN ACTUALLY SEE WHY WE'RE BRINGING THOSE KIDS IN BECAUSE YOU SEE WHAT THEM THEY'RE DOING IN ACTION, NOT JUST, UM, HEARING IT FROM THEMSELVES.

UM, WE'VE CO-ORGANIZED INFORMATION ON SEL AND WE DID A 20 PLUS VIDEO CAMPAIGN ON THAT.

UM, IF YOU HAVEN'T SEEN THOSE, THEY'RE ALL LISTED ON OUR YOUTUBE CHANNEL.

IT WAS A GREAT THING WE INVOLVED STUDENTS AND STAFF IN TALKING ABOUT SEL AND THE COMPONENTS OF IT AND THE IMPORTANCE OF IT.

AND THEN THAT SAME YEAR ALSO ASSISTED WITH THE TRANSITION OF DR.

STOKES COMING INTO THE, INTO HSE SCHOOLS.

AND IN THIS PAST YEAR, REDEFINING SCHOOL BOUNDARIES.

WE LAUNCHED HSE ENGAGED, UM, LOGO DESIGN FOR DURBIN.

UM, ALSO ASSISTED IN HIRING EVENTS, VIDEO CAMPAIGNS AND DIGITAL ADVERTISEMENTS FOR JOBS.

UM, WE'VE CREATED THE RA REVIEW PROGRAM TO RECOGNIZE OUR EMPLOYEES.

SO FAR WE'VE DONE OVER 700 EMPLOYEES HAVE RECEIVED RAVE REVIEWS.

UM, SO DON'T FORGET ABOUT SUBMITTING THOSE IF YOU HAVEN'T ALREADY.

AND THEN WE'VE ORGANIZED A DISTRICTWIDE BEFORE THE BELL EVENT, WHICH HAPPENED THIS SUMMER.

THAT WAS BRAND NEW, UM, WHICH WAS A LOT OF FUN.

I THINK WE HAD GUESSTIMATE AROUND 3000 PEOPLE THAT SHOWED UP MAYBE MORE.

UM, BUT THAT WAS MY SAFE GUESS.

UM, THIS COMING YEAR WE'RE STREAMLINING BUILDING NEWSLETTERS VIA S'MORE.

MOST OF, I THINK ALL OF OUR SCHOOLS NOW ARE USING S'MORE, SO THAT'S BEEN HELPFUL FOR PARENTS.

SO THEY'RE NOT TRYING TO TRACK DOWN PDFS AND GO HERE AND THERE AND DOWNLOADING DIFFERENT THINGS.

UM, WE'VE CREATED THE DISTRICT TIKTOK ACCOUNT TO DIVERSIFY OUR ENGAGEMENT WITH MAYBE SOME OF OUR YOUNGER STUDENTS AND YOUNGER AUDIENCE, UM, ASSISTED WITH TRANSFER OF SKYLAR TO PARENT SQUARE, UH, HIRED ABBY.

AND THEN, UM, WHAT WE'RE GONNA BE TALKING ABOUT IS LAUNCHING OUR NEW DISTRICT AND SCHOOL WEBSITES WITH IMPROVED DESIGN.

SO AFTER WE DID THAT RESEARCH AND THAT ALL STARTED, UM, THE PREVIOUS SCHOOL YEAR OF STARTING TO LOOK AT DIFFERENT, UM, PROVIDERS AND TALKING WITH SCHOOL DISTRICTS LOCALLY AND NATIONALLY, UM, WE DECIDED TO SWITCH TO FINAL SITE.

AND SO FINAL SITE IS A SCHOOL-BASED PROVIDER.

UM, AND THEY OFFER A LOT OF DIFFERENT BENEFITS.

UM, CHRIS CAN TALK A LITTLE BIT MORE, BUT THERE'S NO SERVICE, UM, FEES AND LICENSING FEES AND IT'S A STABLE COST STRUCTURE LONG TERM, WHICH MEANS THAT, UM, IN TECHNOLOGY, AS CHRIS COULD TELL YOU, THINGS CAN FLUCTUATE A LOT WITH UM, JUST THE WAY THINGS GO.

AND SO THIS'LL BE MORE STABLE AND WE WON'T HAVE TO WORRY ABOUT PRICE HIKES BECAUSE THE TECHNOLOGY'S CHANGING.
